Volunteer Coordinator & Engagement Officer

Volunteer Coordinator & Engagement Officer at the Yarra Valley Waterwheel — intake, scheduling, retention and event-day support. 5–10 hrs/week, some weekends.

Coordinate volunteer intake, scheduling and engagement across exhibitions and events — keeping the Hub’s seven-day-a-week roster welcoming and well-organised.

To support the effective recruitment, coordination and engagement of volunteers, ensuring a positive, inclusive and well-organised volunteer program that contributes to the successful delivery of exhibitions, events and day-to-day operations at the organisation.

Key Responsibilities

Volunteer Coordination

  • Coordinate volunteer intake, onboarding and inductions
  • Maintain volunteer records, availability and contact lists
  • Schedule volunteers across programs, events and exhibitions
  • Act as a key point of contact for volunteer enquiries

Volunteer Recruitment & Retention

  • Support recruitment campaigns and outreach activities
  • Assist in screening and onboarding new volunteers
  • Foster a welcoming and inclusive volunteer environment
  • Support initiatives that enhance volunteer retention and satisfaction

Program Support

  • Allocate volunteers to appropriate roles based on skills and interests
  • Provide guidance and support during volunteer shifts
  • Assist with resolving day-to-day volunteer issues

Exhibition & Event Support

  • Coordinate volunteer involvement in exhibitions and public programs
  • Support front-of-house and visitor engagement activities
  • Assist with event setup, delivery and pack-down

Administration

  • Maintain accurate records and documentation
  • Assist with reporting on volunteer participation and engagement
  • Support development of volunteer resources and communications

Key Relationships

Reports to: Operations Manager / Committee

Works closely with: Staff, volunteers, artists, and community stakeholders

Selection Criteria

Essential

  • Strong organisational and communication skills
  • Ability to work collaboratively with a diverse group of people
  • Reliable, proactive and adaptable approach
  • Interest in arts, community or cultural programs

Desirable

  • Experience in volunteer coordination or community engagement
  • Experience in events, exhibitions or public programs
  • Administrative or coordination experience

Commitment

Approximately 5–10 hours per week, flexible. Some evening or weekend availability may be required for events.
