To support the effective recruitment, coordination and engagement of volunteers, ensuring a positive, inclusive and well-organised volunteer program that contributes to the successful delivery of exhibitions, events and day-to-day operations at the organisation.
Key Responsibilities
Volunteer Coordination
- Coordinate volunteer intake, onboarding and inductions
- Maintain volunteer records, availability and contact lists
- Schedule volunteers across programs, events and exhibitions
- Act as a key point of contact for volunteer enquiries
Volunteer Recruitment & Retention
- Support recruitment campaigns and outreach activities
- Assist in screening and onboarding new volunteers
- Foster a welcoming and inclusive volunteer environment
- Support initiatives that enhance volunteer retention and satisfaction
Program Support
- Allocate volunteers to appropriate roles based on skills and interests
- Provide guidance and support during volunteer shifts
- Assist with resolving day-to-day volunteer issues
Exhibition & Event Support
- Coordinate volunteer involvement in exhibitions and public programs
- Support front-of-house and visitor engagement activities
- Assist with event setup, delivery and pack-down
Administration
- Maintain accurate records and documentation
- Assist with reporting on volunteer participation and engagement
- Support development of volunteer resources and communications
Key Relationships
Reports to: Operations Manager / Committee
Works closely with: Staff, volunteers, artists, and community stakeholders
Selection Criteria
Essential
- Strong organisational and communication skills
- Ability to work collaboratively with a diverse group of people
- Reliable, proactive and adaptable approach
- Interest in arts, community or cultural programs
Desirable
- Experience in volunteer coordination or community engagement
- Experience in events, exhibitions or public programs
- Administrative or coordination experience
Commitment
Approximately 5–10 hours per week, flexible. Some evening or weekend availability may be required for events.
